Contribution Refund & Cancellation Policy

How KABC will receive and review contribution refund or cancellation requests when online giving is available.

1. Purpose

This Policy explains how Karbi Anglong Baptist Convention (KABC) considers requests relating to the cancellation or refund of contributions made to support its work.

Contributions are voluntarily made to support KABC's work and are ordinarily treated as final once successfully received and verified, subject to applicable law and legitimate correction or refund circumstances.

2. Circumstances in Which a Refund May Be Considered

KABC may consider a refund or cancellation request in limited circumstances, including:

  • a duplicate payment;
  • a clear technical or payment-processing error;
  • an incorrect amount entered by the contributor;
  • an unauthorized transaction where appropriately established;
  • a contribution that KABC cannot lawfully accept; or
  • another exceptional circumstance approved after review.

The existence of any of these circumstances does not by itself guarantee that a refund will be approved.

3. Requesting a Review

A contributor may request review of a contribution by contacting KABC through the public Contact page.

The request should provide sufficient information for KABC to identify the contribution and understand the reason for the request.

4. Information That May Be Required

KABC may reasonably request information such as:

  • contributor's name;
  • contribution reference;
  • payment or transaction reference;
  • date of contribution;
  • amount; and
  • reason for requesting the refund or cancellation.

KABC will not ask a contributor to provide card credentials, online banking passwords, payment PINs, or other payment-security credentials.

Additional information may be requested where reasonably necessary to verify the contributor or transaction.

5. Review and Approval

Refund and cancellation requests are subject to review and verification by authorized KABC personnel.

A request for refund or cancellation does not automatically mean that the request will be approved.

KABC may consider:

  • the circumstances of the payment;
  • available transaction records;
  • the stated purpose of the contribution;
  • whether the contribution has already been committed or used;
  • applicable legal or regulatory requirements; and
  • relevant payment-provider or banking requirements.

6. Method of Refund

Where an online payment facility is used, an approved refund will normally be returned through the original payment method or payment service provider where required or appropriate.

KABC may use another lawful method where the original method cannot reasonably be used and appropriate verification has been completed.

A contributor should not be asked to provide sensitive payment credentials for the purpose of receiving a refund.

7. Processing Time

Approved refunds will be initiated within a reasonable period after review and approval.

The time required for the refunded amount to reach the contributor may depend on the payment provider, bank, payment method, or other circumstances outside KABC's direct control.

8. Restricted or Designated Contributions

A contribution made for a specified ministry, programme, project, or purpose may require additional review before a refund can be approved.

This is particularly relevant where the contribution has already been committed, allocated, or used for the purpose specified by the contributor.

Any decision shall remain subject to applicable law and the circumstances of the contribution.

9. Contributions KABC Cannot Accept

Where KABC determines that a contribution cannot lawfully or appropriately be accepted, the contribution shall be referred for appropriate review.

Any refund, reversal, return, or other action shall be handled in accordance with applicable law, banking or payment-provider requirements, and KABC's internal procedures.

10. Foreign Contributions

Online giving for foreign contributions is not currently available through the KABC website.

Any future arrangements for receiving foreign contributions online, including any applicable refund or return procedure under the Foreign Contribution (Regulation) Act, 2010 and related requirements, shall be separately reviewed and published before such facilities are made available.

11. Relationship with Other Website Policies

This Policy should be read together with:

  1. PUBLIC-003 — Website Privacy Policy; and
  2. PUBLIC-004 — Website Terms & Conditions.

Personal information provided in connection with a refund or cancellation request shall be handled in accordance with the Website Privacy Policy.

Questions or requests for review of a contribution refund or cancellation may be submitted through the Contact page on the KABC website.

Where possible, the contributor should include the contribution reference or transaction reference to assist KABC in identifying the payment.
